How to Book a Trip
Booking a trek or tour with Everest Base Camp Hub is easy and flexible.
You can book your trip by contacting us through our website inquiry form, email, WhatsApp, or other official communication channels. Once we receive your inquiry, our team will respond with trip details, availability, pricing, and any customization options you may need.
After finalizing the itinerary and travel dates, we will send you a booking confirmation along with payment instructions. Your booking is considered confirmed only after the required deposit or full payment has been received.
Booking Confirmation
A booking is officially confirmed when:
- The agreed deposit or full payment is received, and
- You receive written confirmation from Everest Base Camp Hub via email or official message.
We recommend keeping a copy of your booking confirmation for your records.
Deposit Requirement
To secure your trip, a deposit may be required depending on the type of trek or tour.
The deposit allows us to:
- Reserve guides and porters
- Arrange trekking permits and documentation
- Secure accommodation and transportation
The remaining balance is usually payable before the trip starts or upon arrival in Nepal, unless otherwise agreed in advance.
Accepted Payment Methods
We offer multiple secure payment options for your convenience.
Online Payment
We accept online payments through trusted and secure payment gateways. Online payment is recommended for international travelers who prefer to confirm their booking in advance.
Bank Transfer
You can make payments via international bank transfer. Bank details will be provided upon confirmation of your booking. Any bank transfer fees are the responsibility of the sender.
Cash Payment
Cash payments in USD or equivalent local currency are accepted in Nepal. This option is usually used for the remaining balance upon arrival.
Currency & Pricing
- All prices are quoted in USD unless otherwise stated.
- Payments made in other currencies will be converted at the prevailing exchange rate.
- Prices include only the services mentioned in your itinerary.
- Any services not listed are excluded from the package cost.
Payment Security
We take payment security seriously. Online transactions are processed through secure third-party payment systems, and Everest Base Camp Hub does not store your credit or debit card details.
Late Payments
Failure to make the required payment within the agreed timeframe may result in cancellation of your booking. Everest Base Camp Hub is not responsible for any losses resulting from late or incomplete payments.
Additional Costs
Any additional costs incurred due to:
- Trip extensions
- Flight delays
- Personal expenses
- Emergency situations not covered by insurance are the responsibility of the traveler unless stated otherwise.
Refund Policy
Refunds are handled according to our Cancellation & Refund Policy as outlined in the Terms & Conditions. Some costs, such as permits and flights, may be non-refundable once issued.
Important Notes
Travel arrangements in Nepal, especially in mountain regions, are subject to weather and local conditions. We recommend keeping extra days in your schedule and ensuring your travel insurance covers delays and cancellations.
