These Terms & Conditions govern the use of our website and services. By booking a trip or using our services, you agree to the terms outlined below.

Booking & Confirmation

A booking is confirmed once:

We receive the required deposit or full payment, and
You receive written confirmation from Everest Base Camp Hub via email or official communication.

All trip details, itineraries, and inclusions will be confirmed before the trip begins.

Payments & Pricing

All prices are quoted in USD unless otherwise stated.
A deposit may be required to confirm your booking, with the remaining balance payable before or upon arrival in Nepal.

Prices include only the services specifically mentioned in the trip itinerary. Any services not listed are excluded.

We reserve the right to adjust prices in case of changes in government taxes, permit fees, fuel costs, or unforeseen circumstances beyond our control.

Cancellation & Refund Policy

Cancellations must be made in writing.
Refund eligibility depends on the timing of cancellation and costs already incurred (permits, flights, accommodations, staff arrangements).

Company-Initiated Cancellation

Everest Base Camp Hub reserves the right to cancel or modify trips due to:

Weather conditions
Natural disasters
Political instability
Safety concerns
Minimum group size not met

In such cases, alternative arrangements or applicable refunds will be offered where possible.

Trip Changes & Flexibility

Mountain travel is unpredictable. Itineraries may change due to weather, trail conditions, or client health.

We prioritize safety and may modify routes, schedules, or accommodation without prior notice if required.

Travel Insurance

All clients must have valid travel insurance that covers:

High-altitude trekking
Emergency medical treatment
Evacuation by helicopter
Trip cancellation or interruption

Everest Base Camp Hub is not responsible for costs not covered by insurance.

Health & Fitness Responsibility

Clients are responsible for ensuring they are physically and mentally fit to participate.

You must inform us of:

Pre-existing medical conditions
Allergies or dietary restrictions
Medications you are carrying

Failure to disclose health conditions may result in trip termination without refund for safety reasons.

Guide Authority & Safety Decisions

Our guides have full authority during the trek to make decisions related to safety, route changes, rest days, or evacuation.

Clients agree to follow guide instructions for their own safety and the safety of the group.

Permits & Documentation

Everest Base Camp Hub assists with trekking permits and documentation, but clients are responsible for:

Valid passport
Valid Nepal tourist visa

Any additional costs caused by incorrect or missing documents are the client’s responsibility.

Equipment & Personal Belongings

Clients are responsible for their personal gear and belongings.

We are not liable for loss, damage, or theft of personal items during the trip.

Flights & Transportation

Mountain flights (e.g., Kathmandu–Lukla) are subject to weather conditions.

Delays or cancellations are common and beyond our control. Additional accommodation or transportation costs due to delays are the client’s responsibility unless otherwise stated.

Use of Photos & Media

Everest Base Camp Hub may use trip photos or videos taken during the trek for promotional purposes unless clients request otherwise in writing.

Liability Disclaimer

While we take all reasonable precautions, trekking and adventure travel involve inherent risks.

Everest Base Camp Hub is not liable for:

Personal injury
Illness
Loss or damage of property
Delays caused by weather or natural events
Participation is at the client’s own risk.

Force Majeure

We are not responsible for delays, changes, or cancellations caused by events beyond our control, including natural disasters, pandemics, strikes, or government restrictions.

Governing Law

These Terms & Conditions are governed by the laws of Nepal. Any disputes shall be subject to the jurisdiction of Nepali courts.

Acceptance of Terms

By booking a trip with Everest Base Camp Hub or using our website, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
